Phase 2: Invite Instructors

💡 Why This Matters

Inviting your instructors connects your entire teaching network to one system of record.

When every instructor teaches and submits rosters through Hovn, you see every class, roster, and certification in one place—no double entry, no lost paperwork.

Use this guide to bring all of your instructors onto the platform, even if they also teach independently.

Your goal: every instructor that teaches for you or in your network should have a Hovn profile.

🧭 Steps

1️⃣ Go to Dashboard → Instructors.

2️⃣ Click Invite

3️⃣ Enter the instructor’s Full Name and Email Address.

4️⃣ Select Can Manage Sessions → Yes or No.

• Yes: Instructor can create and manage sessions and submit rosters for classes they teach.

• No: Instructor can teach sessions you create and submit rosters for those classes.

5️⃣ Click Send Invite.

6️⃣ The instructor receives an email titled “You’ve been invited to join Hovn.”

They click Accept Invite to create their account.

7️⃣ In your list, their Status = Invited until they accept, then changes to Active.

8️⃣ To change permissions later: open their Instructor Profile → scroll to Permissions → toggle Can Manage Sessions.

9️⃣ To remove access, open their Instructor Profile → click Revoke.

🔟 If they need to issue certifications, go to Settings → Card Banks → select Card Bank → Add User As Card Bank Issuer → Add Instructor → Save.

🧱 Best Practices

Invite everyone in your network. Any instructor teaching under you or submitting rosters should be inside your account.
Encourage roster submission. Instructors can handle roster upload directly—less admin time, faster certifications.
Independent instructors teaching their own classes should have their own Service Provider account, but can stay connected to you for billing or collaboration.
